RCCC room-by-room notes for event videography

Atrium Ballroom — RCCC's main plenary space, accommodating up to 2,000 pax in its full configuration and splitting into three separately managed halls (Atrium 1, 2 and 3) for smaller plenary formats. The Atrium has designated media riser positions at the rear of the floor and along both side aisles — confirm your riser position with the RCCC events team at least one week before the event as these are first-come, first-assigned. House lighting in the Atrium is standard cold-white — adequate for keynote and stage coverage but supplementary fill is needed for delegate candid shots and networking sequences.

Meeting Rooms 1-8 (RCCC Level 3) — small-to-medium boardroom and classroom-format rooms, 20-100 pax. No fixed media risers; the crew uses a rear-wall monopod position. PA systems are present in most rooms but vary in quality — a wireless lavalier on the speaker is standard practice for clean audio in these rooms regardless of whether the PA is used. Ceiling height is low in some rooms, which makes handheld close-up coverage easier than fixed-wide.

Meeting Rooms 9-16 (RCCC Level 4) — slightly larger format, 50-200 pax, with better ceiling height and more reliable PA infrastructure than Level 3 rooms. Signal access from the in-house AV team is available on pre-request. These rooms are commonly used for professional association breakout workshops, government agency seminar formats and healthcare CPD sessions. Direct audio feed from the Level 4 room PA is straightforward once the pre-event AV briefing is in place.

Fairmont Singapore function rooms — the Ballroom (800-1,200 pax formal) and the smaller Raffles City Ballroom suites (300-500 pax), operated under the Fairmont hotel brand but physically connected to RCCC. These rooms use a separate hotel AV team from the convention centre. Standard practice: identify whether your event uses the RCCC AV team or the Fairmont hotel AV team at brief stage — they are different contacts with different signal-access procedures. The Fairmont Ballroom has warm amber uplighting that photographs exceptionally well for gala and award formats.

Grand Copthorne Waterfront Hotel — adjacent to RCCC at the Merchant Road end, the Grand Copthorne's Grand Ballroom (up to 1,000 pax) and smaller function rooms are frequently booked alongside RCCC plenary space for multi-room MICE programmes. These rooms have good natural light during daytime, strong in-house AV infrastructure, and are particularly popular with government-adjacent events and professional association annual conferences. 1. Atrium Ballroom camera positioning and lighting compensation

The RCCC Atrium Ballroom's cold-white house lighting (approximately 5,000–5,500K) works well for stage and keynote coverage but creates a colour-temperature mismatch with delegate table coverage, where ambient fill is softer and warmer. Our crew manages this with a split white-balance strategy: the main stage camera (Sony FX6 on the rear media riser, 24-70mm GM II f/2.8) is locked to 5,000K to match the stage wash; the roaming camera (Sony FX3, 35mm or 50mm GM f/1.4) shoots at 4,200–4,500K with ISO 4,000–6,400 to compensate for the lower table-area ambient. In post, the two camera colour profiles are matched to a unified look in DaVinci Resolve rather than corrected individually — this is faster and produces a more consistent grade across the 3–5 hour timeline.

When the Atrium is deployed in split configuration (partitioned into Atrium 1, 2 and 3 for simultaneous smaller events), house lighting uniformity drops significantly at the partition side-walls. In these configurations, the roaming camera switches to an 85mm f/1.4 and we deploy 2x Aputure MC pocket panels (5,600K, 40 lux at 1m) mounted on mini-stands behind delegates for clean close-up coverage without the wash-out typical of wider LED panels in a low-ceiling partition environment. The media riser allocation for each split zone must be confirmed with the RCCC events team at the 5-7 WD pre-event briefing stage — riser positions are first-come, first-assigned per zone and are not guaranteed on the day.

2. Multi-room MICE coordination protocol at RCCC

RCCC's 16 meeting rooms run simultaneously during large MICE programmes, and multi-room event video production requires a crew-communication and shot-priority system that does not depend on physical proximity between crews. For full MICE productions at RCCC (plenary Atrium Ballroom + 2–4 simultaneous breakout meeting rooms), our protocol is: Motorola XT420 radio on a dedicated crew channel for each room, a shared run-of-show marked with room-specific timings (provided by the conference producer at the pre-event brief), and a designated crew lead in the Atrium Ballroom who calls time-checks to breakout crews 3 minutes before each session break. This allows breakout room crews to capture the final Q&A exchange and close-up of the presenter before panning to wide room as delegates leave — the most usable closing shot for each breakout room's edited reel.

AV signal access in the meeting rooms requires separate briefing from the main Atrium AV setup. Meeting Rooms 1–8 (Level 3) use a different AV controller from Rooms 9–16 (Level 4). For productions requiring audio from both zones, we submit two separate AV briefing requests — one to the RCCC convention floor AV team and one to the Level 4 room AV team — at the standard 5–7 WD pre-event stage. Mixing a single FOH XLR tap request across both zones at the last minute typically results in Level 3 rooms being covered and Level 4 rooms missed. This two-track AV request is a RCCC-specific protocol not common at other Singapore convention venues.

3. CPD-compliance recording workflow and session file delivery

A significant share of RCCC conferences require CPD, CME or CLE compliance recording — specifically: full-session (not highlights) recording of each speaker's contribution, with the session identified by title, speaker name and date; individual session files (not a consolidated single recording) in formats compatible with the organising body's CPD portal upload. The Law Society of Singapore's CLE compliance format, SMC's CME session records, and ISCA's CPD archive each have slightly different metadata and file-naming conventions.
