The Grand Ballroom at MBS accommodates up to 5,000 for cocktail receptions and up to 2,000 for banquet-style dinner or gala setups. It is the most common venue for large corporate Dinner and Dance events, gala charity dinners, annual award ceremonies and MICE banquets in Singapore.

Lighting conditions: the Grand Ballroom's house lighting (cold, low-colour rendering) is the main technical challenge for event videography. Table candid shots require the crew to carry their own warm-fill practical lights. The stage lighting, managed by PSAV/Encore, is generally high quality for keynote and award presentations. The crew requests a pre-event stage lighting check during the venue AV walkthrough.

Load-in: the Grand Ballroom has a narrow crew entrance on the north side. Heavy equipment needs to be coordinated with the MBS loading bay team in advance (at least 48 hours before the event). The AV team access schedule is tight — plan crew arrival 60-90 minutes before doors open.

Sands Expo and Convention Centre — Singapore's largest convention space

The Sands Expo and Convention Centre is Singapore's primary large-scale MICE venue, handling multi-day international conferences, exhibitions and trade shows. It has 6 exhibition halls and dozens of meeting rooms across multiple floors, connected by an internal circulation system. For large MICE events at Sands Expo, a multi-room crew configuration is required — one crew per session track, coordinated by a production lead who manages the overall brief.

AV coordination: signal routing for video recap at Sands Expo runs through PSAV, with different signal points on each floor. The crew identifies the nearest capture point for each room during the pre-event walkthrough. Skypark Observation Deck and event spaces

The MBS Skypark, located at the top of the three towers, is one of Singapore's most visually distinctive event backdrops — the infinity pool edge, the cityscape view towards the CBD, and the elevated outdoor terrace. It is used for cocktail receptions, brand activations, product reveals, media launches and corporate networking events.

Lighting conditions: the Skypark is entirely outdoor. Midday events have harsh overhead light — diffusion panels or shade coordination is advisable for photography sessions. Evening events at the Skypark have a warm ambient glow from the city and hotel signage that photographs exceptionally well. Wind is a factor for audio capture on the observation deck — directional microphones and wind shields are standard equipment.

Space constraints: the infinity pool area has restricted zones for event crews. Equipment must be cleared with MBS events operations in advance, and no tripods are permitted in the pool viewing area — monopods and gimbal-based stabilisers are used instead.

Hotel ballrooms — Levels 4 and 5

The MBS hotel has a series of mid-sized ballrooms and meeting rooms on Levels 4 and 5, used for conferences of 50-500 people, AGMs, executive dinners, product launches and training events. These spaces have more controlled lighting than the Grand Ballroom and are generally more straightforward for event videography. The AV is managed by the hotel's own AV team (separate from PSAV in the Convention Centre) and signal requests are handled through the hotel banquet coordinator.

Sands Theatre

The Sands Theatre (capacity approximately 1,600 for seated events) is used for keynote events, company gala evenings and award ceremonies requiring a theatre-stage format. The theatre's fixed lighting rig is a professional theatrical system — generally excellent for videography of keynote speakers and award presentations. The crew positions from designated media areas in the stalls and balcony; the theatre operations team must approve camera positions in advance.

1. Managing the MBS Grand Ballroom lighting architecture

The Grand Ballroom's house lighting is one of the most discussed technical challenges among Singapore event videographers — and the most commonly mismanaged. The chandelier system runs at approximately 3,000-3,500K tungsten with low CRI (colour rendering index), producing cold, flat ambient light that makes faces look grey and venue décor look washed out. When combined with PSAV/Encore's stage lighting (which is calibrated for the stage surface and the audience facing it, not for camera sensors positioned 20-30 metres away in the room), the result is a Grand Ballroom that looks dramatically different to the camera than it does to the human eye.

The solution requires a two-camera exposure strategy. Camera 1 (the locked-off stage camera on the media riser, or positioned at the designated press area) is exposed for the stage: ISO 800-1600, f/2.8, aperture prioritised for depth of field at the stage width, white balance matched to the PSAV stage lighting colour temperature (typically 3,200K tungsten warm for gala/award events, 5,600K cool white for conference keynotes). Camera 2 (the roaming candid camera) is exposed for the ballroom ambient with the crew's portable fill: ISO 3,200-6,400, f/1.4-1.8 fast prime, with a portable Aputure MC Pro bi-colour LED clip-on light at 3,200K warm fill on or near the camera position. The stage camera captures the programme; the roaming camera captures the room. Both are necessary for a complete edit. A single camera trying to expose for both simultaneously will fail to serve either.

2. PSAV/Encore signal-split request and programme feed capture

The most significant quality improvement in an MBS conference or gala recap edit is the addition of a clean programme feed — the slides, video playback and presentation graphics from the main stage screens, recorded as a separate clean signal alongside the cameras. Without the programme feed, the editor must use shots of a camera pointing at the screen (keystone-distorted, low resolution, surrounded by the ballroom environment) wherever the presenter's slides are needed in the edit. With the programme feed, the editor has broadcast-quality, pixel-perfect presentation content to cut to directly.

Obtaining the programme feed from PSAV/Encore at MBS requires a structured request process: (1) the event manager or production manager submits a signal-access request to PSAV at least 5 working days before the event, specifying HDMI or SDI output from the main programme switcher at the FOH (front-of-house) position; (2) at load-in (60-90 minutes before doors open), the crew collects the signal feed from the PSAV patch point and records it to a dedicated capture device — an Atomos Shogun or Blackmagic Video Assist recording a clean SDI or HDMI signal; (3) the resulting recording is frame-accurate and broadcast-quality — identical to what is displayed on the main screens. eventcoverage.ai manages this request process as part of the pre-event production brief, so the event manager does not need to liaise with PSAV separately. 3. Load-in coordination and the MBS equipment access protocol

MBS's loading bay and event operations team runs a strict equipment access and crew registration system for large events in the Grand Ballroom and Sands Expo. The correct process — consistently managed — eliminates the most common cause of setup delays and equipment hold-up at the loading bay on the event day. The process: (1) at least 48 hours before the event, submit a crew manifest (names and NRIC/passport numbers for each crew member) and an equipment list to the event manager for forwarding to MBS events operations; (2) at load-in, crew arrive at the MBS loading bay entrance on the basement level and check in against the crew manifest. Equipment is checked against the equipment list. Items not on the list may be held pending approval from the event manager; (3) a pre-event AV walkthrough with PSAV/Encore (Convention Centre events) or the hotel AV team (hotel ballroom events) confirms camera positions, media riser access, signal feed points and any restricted zones (the Grand Ballroom stage apron, the Sands Theatre technical gallery, the Skypark pool area). The walkthrough takes approximately 30-45 minutes and must be completed before the doors-open time. For conference videography at Sands Expo, the same protocol applies per hall. For AGM videography in MBS hotel meeting rooms, the hotel AV team (not PSAV) manages the process — the lead time requirement is the same (48 hours) but the contact is the hotel banquet coordinator, not PSAV events.
