Suntec Singapore venue knowledge — what you need to know

Halls 601–606 (300 to 2,000+ pax)

Suntec's main halls are arranged in a flexible configuration: 601, 602 and 603 are typically combined for mid-scale conferences (500–800 pax), while 604, 605 and 606 handle larger events up to 2,000 pax. The ceiling height in these halls is moderate — roughly 7–9 metres — which means house lighting provides reasonable even coverage. The primary challenge for conference video is the transition from full-house light (networking, registration) to presentation mode (house down, stage spotlight only). Our crew adds a soft fill light to the main camera position during presentation segments so speaker close-ups remain properly exposed even when the slide deck is the main visual.

Media riser access: the media riser in the main halls is typically positioned at the rear centre of the floor or behind the last row of chairs. We confirm riser position with the event manager and Suntec AV during the load-in walkthrough. For events where the riser is behind the audience, we bring an elevated camera platform to clear heads.

Grand Ballroom (up to 3,000 pax)

The Grand Ballroom is Suntec's largest single space — used for AGMs, association plenary sessions and large-scale gala-conference combinations. The scale requires a minimum 3-camera setup (wide on media riser, mid-stage camera, roaming floor camera). The PA system in the Grand Ballroom uses a distributed line array — audio quality from the house system is generally good for recording directly from the mixing board. We request a direct feed from the FOH (front-of-house) desk via XLR or HDMI at signal-access briefing stage.

Summit 1, 2 and 3 (40–120 pax each)

The Summit rooms are boardroom-scale breakout spaces on the upper level. They have low ceilings and limited natural light — fluorescent or LED panel house lighting only. For these rooms, we use wide-angle lenses for the room-capture shot and a static single camera for the presenter/panel. No media riser space is available — the camera position is typically on a tripod at the back of the room. Tight framing and a good lav mic on the presenter are the keys to quality output from Summit room sessions.

Hall 4 (trade exhibition + conference hybrid)

Hall 4 is commonly used for trade exhibition formats where a conference programme (keynote stage or panel theatre) runs simultaneously with an exhibition floor. This configuration requires a crew with event-exhibition experience: the keynote stage is typically at one end of the hall, the exhibition floor has ambient noise from neighbouring stands, and the camera positions must be set up not to obstruct exhibit traffic. Our crew positions accordingly: media riser behind the seated keynote audience, roaming camera on the exhibition floor for sponsor and exhibitor coverage between sessions.

AV coordination and signal access

Suntec Singapore works with an in-house AV partner for venue-provided technical services. For external videographers, the standard process is: (1) send a signal-access request to the event manager 5–7 working days before the event, specifying whether you need a programme feed (HDMI/SDI from the main switcher), a PA audio feed (XLR from FOH) or both; (2) confirm positions and access at load-in (typically 2 hours before doors open); (3) collect signal feeds from the patch panel or FOH desk. We manage this process directly and do not rely on the event manager to chase the AV team on the day.

Three technical disciplines for professional Suntec conference footage

Conference videography at Suntec Singapore has three consistent technical challenges that determine whether the footage is broadcast-standard or just technically functional. Each has a specific, repeatable solution.

1. Managing the full-house to presentation-mode lighting transition

The lighting environment at a Suntec conference shifts dramatically during the programme. During registration and networking, the house lights are at full brightness — reasonable even coverage across the hall at 500-800 lux, with no significant exposure challenge for the cameras. When the programme moves to keynote or presentation mode, the house dims to near-darkness (often below 50 lux in the audience area) while the stage is at 600-1,200 lux from the PSAV presenter spotlight. The stage-to-audience luminance ratio is approximately 6-8 stops — impossible to expose both in a single frame.

The correct approach is two simultaneous camera configurations. Camera 1 (the locked-off stage camera on the media riser at the rear of the hall) is exposed for the stage: ISO 800-1,600, f/2.8, white balance matched to the presenter spotlight (3,200K tungsten warm for the standard Suntec spotlight configuration). An Aputure MC Pro or equivalent small LED fill is positioned at the media riser to add 0.5 stop of soft frontal fill on the speaker's face — eliminating the shadow-under-brow problem that appears in conference footage from crews without dedicated fill. Camera 2 (the roaming candid camera) is exposed for the audience level: ISO 3,200-6,400, f/1.4-1.8 fast prime, using the stage screen glow as a natural backlight and a portable fill LED as a key light for close-up audience reaction shots. The programme signal feed (received via HDMI/SDI from the Suntec AV FOH desk) provides a third recording stream — clean presentation slides and video playback — recorded simultaneously to an Atomos Shogun or Blackmagic Video Assist. The editor cuts between the three streams: stage camera for speaker coverage, roaming camera for audience and room energy, programme feed for slide and content sequences. This is the framework that produces conference recap films that feel complete rather than coverage of a person standing at a lectern.

2. Suntec AV signal-access request process — five steps

The programme signal feed from Suntec's AV system is the highest single-quality improvement available for a conference recap edit — and it requires a formal request process that must be completed before the event day. The five-step process: (1) the event manager submits a signal-access request to the Suntec AV team 5-7 working days before the event, specifying HDMI or SDI output from the main programme switcher at the FOH position. In halls 601-606, this is a BNC SDI output at the FOH desk. In Summit 1-3, it is an HDMI output from the laptop switching unit; (2) the Suntec AV team confirms the output point and any restrictions (some events with proprietary content have signal-access restrictions that require the event organiser to confirm consent); (3) at load-in (2 hours before doors open), the crew connects the capture device to the confirmed output point and records a test signal during the pre-event AV system check; (4) the programme feed records simultaneously with the main cameras throughout the event; (5) at pack-down, the crew confirms clean signal receipt across the recording with the Suntec AV team before disconnecting. eventcoverage.ai manages steps 1-5 as part of the pre-event production brief. 3. Multi-room crew coordination for simultaneous breakout sessions

Suntec's Summit 1, 2 and 3 breakout rooms run simultaneously during the breakout windows of a full-day conference programme — typically two 60-90 minute parallel sessions during the late morning and early afternoon. Covering simultaneous breakouts requires a crew architecture that is distinct from single-room conference coverage. The framework: a production lead manages the overall coverage scope and is positioned in the main plenary hall for the opening keynote and the afternoon plenary close; dedicated single-camera operators are assigned per Summit room for the breakout windows. Each Summit room operator runs the same setup — wide-angle lens for room capture, static single camera for presenter capture, lavalier microphone on the presenter. The production lead transitions back to the Summit 1 primary room for the closing breakout session if the main plenary is not running. All crews use a shared radio channel (Motorola XT420 or equivalent) so the production lead can coordinate deployments without leaving the main hall.
